OrgPlus 6 – Importing Data from SAP

Summary:
The SAP Adaptor is a separate add-on module to OrgPlus Professional that enables you to extract data from SAP HR. OrgPlus Professional uses the SAP .Net Business Connector to connect to the SAP System.
Prerequisites:
- SAP R/3 version 4.6c, 4.7, or newer
- SAP HR implemented with Organisational Management
- R/3 Web Plugin version 2003 or 2004
- OrgPlus Professional version 6.0 or later
- The librfc32.dll file.
Note: On Machines with the SAPGUI installed, the librfc32.dll file can usually be found in C:\WINDOWS\system32\librfc32.dll. If necessary, you can copy the librfc32.dll file to the C:\WINDOWS\system32 directory of the windows machine on which you run OrgPlus Professional.
If the librfc32.dll file is not installed, you will receive the following error message:

> Creating the SAP View
To define the objects and structures to be extracted from SAP Organisational Management, you need to create the SAP View to be used within OrgPlus. The details required in your SAP View definition are:
- Eval Path for Root Objects or Function Module Root Objects – Use one of these fields to define the evaluation path to locate the root object.
- Evaluation Path Objects – Use this field to define the evaluation path that identifies the objects subordinate to the root object.
- Initial Evaluation Path – Use this field to determine the depth of the SAP Object to be returned. To return the entire tree, leave this field at 0.
- Column Group – Use this field to define the columns from which data will be retrieved.
> Configuring the SAP Adaptor
- Open OrgPlus Professional 6.
- Select File | Import Data to display the Select Data Source dialog box.

- Click the
button.
If the Desktop SAP HR-OCI Adaptor is unlocked, the Select Data Source dialog displays.
Note: If the Desktop SAP HR-OCI Adaptor is not unlocked, you will see the following display. Click the appropriate link to evaluate, purchase or unlock the adaptor.

- Select the SAP (HR-OCI) radio button and click Next.

The SAP Connection Wizard displays.
- Specify your desired configuration.

Note: The first 6 items (Application Server through Password) are the same as your SAPGUI configuration. These data tell OrgPlus how to get to and log into your SAP Environment:
- In View or View ID (required) field enter the name or ID of a previously defined SAP view or a default view.
- In Refresh Properties View or View ID (Optional) enter the name or ID of a previously defined SAP view or a default view for setting your refresh properties. For more information regarding this option, please see > Refreshing SAP Data in this article.
- Query Scenario is optional. A SAP Query can be defined to extract additional items or infotypes beyond those identified by the SAP View creation step.
- Object Type (Required) must match the Root Object Evaluation Path specified in the SAP View creation step.
- Extended Object ID (Required) is the ID of the desired root object of the charts. This ID must match the object type specified in the SAP View creation step.
- Plan Version (Optional) is the version number of the matrix organisation that has your desired organisational structure. If left blank it defaults to 01
- Begin Date, End Date, and Key Date (Optional) Use these fields to take advantage of SAP’s effective dating functionality. If left blank each defaults to the current date.
- In View or View ID (required) field enter the name or ID of a previously defined SAP view or a default view.
- Click the Next button to test the connection to the SAP system.
You will get a response indicating either that the connection was successful or that it failed.
If unsuccessful you will receive a Connection Failed dialog. Click the View Log button for information regarding the problem.
If successful you will see the SAP Wizard Result dialog box.

To delete the temporary files created in the connection process, check the Delete temporary files checkbox.
To save the login information for automated refreshes of the data, check the Save password file checkbox.
- Click Finish to save the SAP Adapter connection file.
> Importing SAP Data
With your SAP Adaptor configured, you can import your SAP HR data.
- Select Import Data… from the File menu select to display the Select Data Source dialog box.
- Select the SAP Adapter connection file created in step 7 above (op.saphr by default) from the data shown in the dialog box and click Open.
The Retrieving Data message displays the progress of your data retrieval as OrgPlus connects to the data source…

and as the data is retrieved.

When Data Retrieval is completed, The Import Wizard displays the data settings.

To view your SAP data in your default XML editor, click the View XML Response button.
To view a log of the transactions between OrgPlus and SAP HR, click the View Log button.
Click the Finish button to close the Import Wizard.

To refresh your SAP HR data in OrgPlus either select Refresh Data from the Data menu, or click the Refresh Data button
on the Toolbar. After refreshing your chart data, OrgPlus displays the following panel.

To view a report of your data refresh, click Refresh Delta Report.
To view your SAP data in your default XML editor, click SAP XML Response.
To view a log of the transactions between OrgPlus and SAP HR, click SAP Transaction Log.
> Refreshing Properties View or View ID
Refresh Properties View or View ID is an optional parameter for configuring your SAP connection in OrgPlus. This option allows you to perform a smaller query when opening the Refresh Properties dialog. The Refresh Properties View or View ID is not used to perform the data refresh.

When setting up the Refresh Properties View or View ID in SAP, use the same settings used in the “View or View ID” but specify a depth. We recommend a depth of 6.
Note: Although the Refresh Properties View or View ID parameter may decrease the time it takes to open the refresh properties dialog, OrgPlus requires all the fields in your data be included in the Refresh Properties View or View ID. This enables OrgPlus to correctly map your data fields.
If you do not specify a Refresh Properties View or View ID, OrgPlus will use the required View or View ID parameter when opening the refresh properties dialog.
